Start with the venue and the timeline

Give your DJ the venue contact, setup window, ceremony location and reception schedule. Ask whether the ceremony and reception need separate sound setups, and how microphones will move between speeches, announcements and music. A written timeline helps everyone understand who makes decisions when plans change.

Discuss access before the day: stairs, loading areas, power outlets, sound restrictions and the time equipment must be removed. Ask the venue which requirements apply to outside entertainment vendors and share those requirements before signing an agreement.

Ask what backup equipment and music are available

Ask your DJ which spare items are available for your event, including microphones, cables, playback equipment and speakers. Confirm how a failed component would be replaced and which parts of the event would be affected. Backup arrangements vary; make sure the plan you rely on is confirmed in your booking details.

Confirm that key songs can play without depending on the venue Wi-Fi. Send the exact versions of ceremony music, introductions and first dances early enough to check them. Keep your final song list and pronunciation notes in a shared planning document.

Agree on weather and emergency decisions

For an outdoor celebration, discuss a sheltered alternative with the venue. Find out who decides when to move indoors, how much notice the entertainment team needs and whether the alternative changes sound coverage. Electrical equipment needs a suitable, safe setup; a rain forecast deserves a real venue discussion.
